How much will eSignature actually cost you per year?

Enter four numbers — users, annual volume, HIPAA, document creation — and the calculator picks the cheapest valid plan for each major platform: DocuSign, SignNow, PandaDoc, Dropbox Sign, Sign.Plus, CocoSign. Every price is verified against the vendor's official pricing page. No data leaves your browser.

How it works

Step-by-step guide

  1. 1

    Enter your users

How many people on your team will send documents for signature. Solo users, small teams, and 50+ orgs all calculate cleanly.

  2. 2

    Enter your annual volume

Total signature requests per year across the whole team — not per user. The calculator handles per-user math against each platform's caps automatically.

  3. 3

    Tick what you need

HIPAA + BAA, document creation (proposals/contracts), eIDAS QES (EU compliance), or FedRAMP (US federal). Leave them off if you don't need them.

  4. 4

    Compare the table

Each platform shows the cheapest valid plan for your scenario, the annual cost in USD, and a fits/doesn't-fit verdict. The cheapest valid pick is highlighted.

Benefits

Why use this tool

Grounded in verified pricing

Every plan price is verified against the vendor's official pricing page. No invented numbers, no marketing fluff.

Models real caps

DocuSign's 100-envelope-per-user-per-year cap. SignNow's 100-invite workspace cap pushing to Site License at $1.50/invite. PandaDoc Free's 60-document limit. The calculator handles all of them.

Compliance-aware

Need HIPAA? FedRAMP? Native eIDAS QES? The calculator filters out platforms that cannot serve regulated workflows and steers you to those that can.

Honest about custom pricing

When a platform is custom-priced (DocuSign Enhanced, PandaDoc Enterprise, Dropbox Sign Premium), we say so rather than fabricating a number.

No data uploaded

The calculator runs entirely in your browser. We do not see your team size, your volume, or your shortlist. Closing the tab discards everything.

Updated quarterly

Vendor pricing shifts. We re-verify the published rates each quarter and timestamp them so you know how fresh each number is. Cross-check on the vendor page before signing a contract.

Use cases

Common use cases

Renewal coming up — is it time to switch?

Run your current scenario through the calculator. If a competing platform comes in materially cheaper at the same compliance ceiling, that is the negotiation lever (or the trigger to migrate).

New team, picking a default platform

Five-person services firm sending 50 contracts per year? The calculator will show SignNow Business at $96/year crushing the per-user alternatives. Twenty-person sales team with custom proposals? PandaDoc Business comes out ahead.

Volume jumped, need to reforecast

Plug in your projected volume for the next year. SignNow's 100-invite cap, DocuSign's 100-envelope cap, and PandaDoc Free's 60-document limit all kick in at predictable thresholds — better to see them now than at renewal.

Compliance scope changed

Healthcare or life sciences requirement just landed? Toggle HIPAA on. The calculator drops platforms that cannot serve and shows you the cheapest path (typically Dropbox Sign Premium or SignNow Site License).

Procurement asking for cost comparison

Drop the calculator output into a procurement memo or vendor evaluation grid. Every annual cost is reproducible from public pricing pages — auditable, not vendor-supplied.

Sales team scaling fast

Going from 5 to 25 reps changes per-user math dramatically. SignNow's flat workspace becomes inferior to per-user unlimited models. Re-run the calculator before approving a multi-year contract.

Tool vs full software

When the calculator is enough — and when you need to talk to vendor sales

The calculator gives you a defensible per-platform annual cost in seconds, grounded in published pricing. That is enough for most procurement decisions in the SMB and lower mid-market range.

It is not enough when:

  • You need a custom-priced tier (DocuSign Enhanced, PandaDoc Enterprise, Dropbox Sign Premium, SignNow Site License at scale). The calculator shows "custom" for those — get a real quote from sales, then compare against the calculator's baseline.
  • You qualify for vendor discounts (annual prepay, multi-year, non-profit, education). Public pricing is the list price, not the floor. Sales teams routinely discount 10–30% for committed contracts.
  • You need contract terms beyond price — SLA, support response time, data residency, termination clauses, security questionnaire responses. None of that is on the public pricing page.
  • Your scenario is unusual — extreme volume, multiple subsidiaries, mixed compliance (HIPAA in some workspaces, not others). The calculator assumes a single coherent scenario; sales can structure a hybrid contract.

Use the calculator to anchor the conversation. Public pricing as your floor; vendor quote as your test. If the vendor cannot match or beat the calculator output without losing features, the next platform on the list probably can.

Be aware

Honest limitations

  • ! Pricing is annual-billing list price in USD, last verified against vendor pages. Monthly billing is typically 25–40% higher; non-USD billing varies by region.
  • ! Volume discounts on SignNow Site License are not modeled — large-volume buyers should expect material discounts beyond the $1.50/invite sticker.
  • ! PandaDoc Business assumes the editor is being used. If you do not need document creation, our Starter calculation often beats it.
  • ! Dropbox Sign Premium is custom-priced (typically $40–80/user/month per our research). The calculator returns "custom" rather than a fabricated midpoint.
  • ! No localization of pricing — all USD. Sign.Plus, SignNow, PandaDoc, Dropbox Sign, and DocuSign all bill in USD as their default currency in the regions we cover.
  • ! No discounting for prepay, non-profit, education, or multi-year commitments. List price only.

FAQ

Frequently asked questions

How accurate is the calculator?
Each platform's pricing is verified against the vendor's public pricing page, most recently in May 2026, and re-checked each quarter. The calculator reproduces the published list price; vendor sales can usually beat it by 10–30% for committed contracts.
Is my data uploaded?
No. The calculator runs entirely in your browser. We do not see your team size, your volume, or your shortlist. Closing the tab discards everything. There is no analytics on inputs.
Why is some output marked "custom-priced"?
Because the vendor publishes a quote-only tier rather than a public price. DocuSign Enhanced/IAM, PandaDoc Enterprise, and Dropbox Sign Premium all fall in this category. We refuse to fabricate a number; instead, the row shows "custom" with the relevant compliance or feature note, and you can request a quote from the vendor.
Why does Sign.Plus often look cheap for EU/Swiss buyers?
Because Sign.Plus uniquely includes eIDAS QES and Swiss ZertES on every plan including Free. Other platforms only match QES on their custom-priced Enterprise tiers (DocuSign Enhanced, PandaDoc Enterprise). For an EU buyer with QES requirement, Sign.Plus Professional at $19.99/user/month is the published-price floor in our dataset.
Why does SignNow show $96/year for some scenarios?
Because SignNow Business is $8/month flat with unlimited users for the entire workspace, capped at 100 signature invites per year per workspace. For a 5-person team sending 50 invites/year, the math is $8 × 12 = $96, regardless of team size. Above 100 invites/year, the calculator switches to Site License at $1.50/invite.
How do I check the math myself?
Open the vendor pricing page (linked in each platform's review on this site) and verify the per-tier price. Multiply by users × 12 for per-user-per-month plans, or use the flat rate for workspace-flat plans. The calculator is just doing this multiplication automatically with the right tier picked.
Should I use the cheapest result?
Not necessarily. The cheapest valid platform may not match your team's actual workflow needs, integration footprint, or signer-experience preferences. Use the cheapest result as your floor, then read the editorial review of each platform to understand the qualitative trade-offs before committing.
Are non-USD prices supported?
Not yet. All prices are USD list prices. Sign.Plus, DocuSign, PandaDoc, Dropbox Sign, and SignNow all bill USD as the default in the regions we cover, but local-currency exchange rates and regional pricing variations exist. We may add EUR/GBP/CHF/JPY conversion in a future update.
